kgf, is there any way we can get a break down of the costs associated in setting up this event? I know food, the banquet hall, and the ball park all have costs associated to it? What's the money going to and how much are you spending out of pocket, if any, so we know what's all involved.

Thanks for all of the effort in planning and setting this thing up, I honestly know it's not an easy task.

A rough breakown (because official totals come after the event)
Friday night ballfield: $100 rental
Friday night picnic: approx $13 per person
Firepit rental: $50 to $75 depending on which one.
Wood: $35 half cord
Saturday banquet: approx $37 person
Lanyards and name tags: approx $2 per person
Magnets: approx $5 each.
There are also PayPal fees and EventBrite fees.
Food costs are the main expense followed by amenities. These are some of the biggest expenses.

I've never spent more than about $50 to $100 out of pocket so it's not a big deal.

Me too. I'm going to be passing the plate on Saturday night. Now that I've made my millions from the event, I'm going to retire to Antarctica and spend my time ice fishing.

That's a pretty tight budget,,, but if everyone packed at least one log for firewood, we could reduce the cost by less than $.50 each... especially when they are giving the stuff away in northern VA .....

Yeah, I grabbed my piece of the planning pie and after a few years, retired to an island.
