Hello Tony, nice to see you posting.

The price of the meeting will not change if people decide to drop out.

That is the main reason why we require payment to be made in advance.
S2K Club Italia has to sign contracts with all of its suppliers mid March, hence the reason for the deadline of the 12th.

The deadline allows us to know exactly how many people are attending (at the minute we only have a promise that people will show up) and it also allows us to have financial security.

I am more than happy to pay up front, but could the organisers clarify something. If the event is cancelled by the organisers for any reason (an unlikely prospect but it could happen..) then would we be expected to recover our costs from our travel insurance or has some consideration gone into this eventuality ?

I agree that people should decide now if they can commit to this event. In other threads there are others who have not booked already and are itching to join us.

I for one will have to go without a take away or two over the next month so that I can raise the cash rather than putting it on my credit card at the hotel as I was expecting.

However this is a huge event and I can understand the reason why it's been done the way it has.

So thank you to the organisers, it can't be an easy task.

And if anyone is buying - Chicken Chow Mein with Curry Sauce

As it's already been explained here many times now, we can't provide a refund as it is a full package we provide you.

So either you're in or you're out.
Up to you to make your mind on this

But once again, you still have ONE FULL MONTH to make up your mind on whether you come or not. This will lead you just one month before departure, hopefully close enough to know if you can come or not ...

From my original post on another thread. If you have taken out travel insurance, and are unable to attend this meet due to circumstances beyond your control, you will be able to claim a refund of any money you have paid out, less any excess. This, of course, only applies to expenditure made since taking out the insurance cover.

If you don't attend because you have changed your mind, why did you put down a deposit in the first place?

I've just paid the outstanding amount I owed and was glad to do so for many reasons. I can understand the view point of the local hoteliers and caters who are now involved in making this great event happen.

If you could imagine how it must look, that a club you may or may not have ever heard of approaches you and others, requesting to fully book out up to 5 hotels in the area. This would appear to be suspicious, if you had no history or minimal information on the individuals involved. I understand this was probably not the case and I am in NO WAY doubting the honour or integrity of the organisers or their hard work!! But to the people who may not be aware of the the S2000s history or global following, it may seem like some sort of a scam or hoax.

Now to protect yourself and others (staff etc) during a weekend were I'm sure most hotels in that area would normally have a high occupancy rate, of course you would demand some sort of security. As it has already been mentioned, cash flow worldwide is getting tight and reserving the rooms in your hotel (or pre buying food stuffs for caters etc) without solid financial security could possibly be the end of someones employment or hard built business.

My local town is classed as a tourist attraction and currently has 4 hotels. If they were to receive bookings of the Euromeet magnitude and these bookings fell through the results on the entire town would be enormous and it would take quite along time to recover afterwards.

I think what I'm trying to say is, purely out of respect for both the organisers who have put in an epic amount of time and effort (that I'd like to thank them for) and the people (hoteliers, caters, musicians etc) involved, whose location we are all excited to visit and enjoy, I think giving over one months notice of the full payment is more than fair!!
