From my experience, trying to put meets together, it is way easier to pick a day and time and throw it out there and see if people are able to attend. There is way too much minutia involved asking everyone for time and dates that are good for them because you will get different responses from everyone.
Also, trying to get things together in the same day is really hard to do. Asking to do something on the day of the event will find most people with plans already.
Here is what I try to do when getting an event together:
Scenario A. "A re-occuring event or established meet" Take Saturday night at the sonic on Hills Ave. I am going to start a thread tonight about meeting up there. I am only giving a day or so notice that I want to attend only because it is a re-occuring meet. It happens every Sat night whether we go or not. Usually you would want to start a thread early enough to allow as many people the chance to see it as possible. Since this is no big deal I dont feel bad about giving only a day or so notice instead of say a week or more for some thing like ScenarioB below
Scenario B: "A custom event" What I think you are trying to set up is more of a custom event. It may turn into a weekly thing eventually but for right now it is something new and different so it would need as much lead in notice as possible to spark more interest. In this case, I would suggest picking a weekend night and a time and throwing it out there for people to discuss and or RSVP. Pick a date and just do it. Let the people figure out if they can attend or not. With enough notice, you will find that more people will be able to attend than if you said "hey how about tonight?"
People have already expressed interest, so you know people will want to attend. Now you just have to give them enough time to schedule it into thier plans.
Take me for example, I want to attend badly but being able to show up tonight is not possible, if I were to have known about say last Sunday I could have planned for it.
I am not busting chops or anything at all like that, I just wanted to offer some advice. I think it is awesome you want to host an event, I just want you to get as much response as possible.

As some guys who have met me know I travel. So for the next couple of weeks I will be on the other side of the world.
When I get back I want to meet up with people from the Tampa area.
At least now I know a firm date that my parts that I have ordered will be delivered. So I will be able to get out in my S2k and not have to sneak up in the "other car" and sneak in, and so fourth. Thats why I have been lieing low and chime in here and there.
So after this trip and putting the car back together I will be out and about and showing up to a lot of get togethers and let the cat out of the bag about what I am doing. And that dam cat wants out so bad, he is tearing that bag up,
So I will be cheching the boards and get back around the middle of Dec.
to finally meet everyone.
