MegaMeet 2011 Feedback Thread
good to hear guys. There is a lot of people working in the background to make things work. If it wasn't for Will (TerminatioN) we would have never gotten anything off the ground. Taylor (EvilS2k) and Will both helped make sure things stayed grounded and in control.
I really want to explore more selling points. What's going to bring more than 59% of our registrants to the next meet?
I think the "team" games approach is a really cool thing to try. If we coordinate with the venue we could make something fun happen on that aspect.
I also want to make this a two day event or a day into night event with outings and breakout things to do. We got to get a cart track or some other race related thing in the mix.
Its going to be hard though to bring more to the table without considering a fee to accomplish some of these goals.
But before we get to that bridge, what would really seal the deal for people in wanting to attend without fail??
It shouldn't bother me, but a 41% no-show in people who actually took the time to register leads me to think it was more than just "life getting in the way".

I really think it comes down to Meet-Math. You can safely assume half of the people that say they are going to come will not come. It's just the way things work unfortunately, and there isn't much of a way around it; people are flaky. I'm not certain about this But I would say that probably 80-90% of the people that bought shirts came; is this a fair estimate? you have to figure out a way to tie people to the event so they cant just say "aw I don't feel like it today"; they have to think " shit if I don't go I'm out my 10 bucks that I paid to register and I won't get my "X". Do something like 10 bucks to register and you get a free "X".
I had a fantastic time. Here is my feedback:
I had no idea there was a schedule in my magazine. It wasn't until I got home and took out the magazine to take to the bathroom that I found my voting slip, my sticker, and some of the advertisements you guys slipped in to the magazine. (also for some reason I had like 6 voting slips, don't do that, that's how winners can get rigged) I would say next time Have a bag with a persons name and their shirt, but have the other items out on the table, or in a box and a person at the tent saying " this is your schedule" and puts it in your hand so you can look at it and put it in your own bag. "this is your sticker" - in the bag, "here are some sponsor cards" - puts them in the bag. That way you have seen what is in the bag and you are more likely to look at the stuff instead of tossing the bag in the trunk ( like I did ).
I really wanted to go to the tech talks, but I completely forgot about them, partially because I didn't know I had a schedule, and partially because I didn't see or hear anything about them during the event. I still feel upset that I missed out on that.
Parking should be ushered, no one disagrees there. The meet could have looked much more populated if everyone had been corralled into a main area instead of wrapping around the venue.
The raffle was AWESOME. What a great way to keep people there till the end of the day ! Great prizes and thanks a lot to all the sponsors.
There should be some kind of Speech or announcements to initiate the event. Once the majority of people arrived I'd have liked to get everyone together for a group shot and make some announcements, this would be a good time to remind people to register, buy raffle tickets, read off the schedule and main events, so on and so forth.
Games and contests are awesome, Highway Stars did a hotdog eating contest at one of their events, I've seen things like car limbo or sound off competitions, lets mix it up, have some small awards for people in other odd categories even if its just bragging rights or a silly forum badge. I like the idea of Region-Based competitions, how awesome would it be to have the SFL crew versus the CFL crew in kickball or something like that?
These are all just ideas to make an awesome event even better ! I had a great time, made some great memories, saw some people i knew met some people I didn't and bought some cool stuff. Big thumbs up to all those involved and a sincere thanks for all the hard work you put in to help me have a good time.

I think you may have gotten 5 ballots because you posted 2-5 people in your party. When i made the spreadsheet i rounded up because i wanted to make sure I had enough. I gave you that many because that what you said would be in your party.....lol no worries though

I see exactly what you are saying though. we have to be more deliberate in our explanation AND perhaps not put stuff inside of magazines and let them be loose in the bags...both of those are def. good points.
We also will make more deliberate announcements regarding ANY of the special things we have going on during these meets. The DJ was good but the announcements were not projected well and they were a bit garbled. We will look into more sound in more locations next time for sure.

Considering the vendors gave some high $$ stuff away and 40% of the people didn't show and the event was free at a great central location with perfect weather I'm not sure what else you could do to improve attendance
I totally agree. Definitely enough icing on this cake to entice even the modest attendees.
Primogen: I would suggest reaching out to those who did not show (via PM/email) and survey them for the actual reason for not attending. The open speculations occurring here may come off as unsympathetic to people with legitimate reasons.
One thing that I'd like to point out is how well represented each demographic was. Even though the Orlando members may have been less-than-expected ... I saw a substantial showing from Jacksonville, Miami, and the Tampa areas. This, in my opinion, is a great scenario as that substantiates the value of this community and the meet. I like the idea of how a little bit of every part of the state is being represented.
