I think as sad as it sounds, an itinerary would be a good idea.
For the after dinner blast, everybody would need maps and a route plan to a specific location, so if somebody got lost, they could eventually find the final destination.
After having been at the back on both the Rutland and Cotswold meet (I do it so I can see other peoples faces as we all pass in VTEC ) you can sometimes get left behind due to traffic etc. I had to do some crazy driving to catch up on one occasion, which I would not really want to do again.
There is plenty of time to plan 'The meet of all meets' and kick ideas around.

No walkie talkies sadly, mobile phones are a good alternative but reception might be poor in that neck of the woods.
Some scenic stop offs would be good for photographs, parking could be a problem though.
